Client Capacity Calculator

Can one more client request fit this week? Compare a working estimate with a slower case while keeping your time allowance intact.

Your entries stay in this page while it is open. This calculator does not send them to SoloHatch or an AI service, and does not save them between visits. Ordinary site analytics are covered by our Privacy Policy.

01 / ONE WEEK OF WORK

Set your hours

Use the same one-week window for every field. All six fields are required; enter 0 if none. Hours can include up to two decimal places.

Your available week

Total time you plan to work, including client work and fixed non-client tasks. Do not subtract the fields below first.

Admin, marketing and other fixed tasks. Exclude client commitments and the separate allowance.

Reserve for interruptions, uncertainty or extra coordination. This is deducted once and kept out of available client hours.

Hours already promised in this week, including preparation, communication, reviews and handoff.

The new request

The total new work you expect in this week. Include preparation, delivery, communication, review and handoff.

The same request if it takes longer. Use the same or more hours than the working estimate. Existing commitments stay unchanged in this comparison.

02 / CHECK BEFORE COMMITTING

The formulas

Client work budget = weekly work hours − fixed non-client hours − time allowance.

Hours left = client work budget − existing client commitments.

Remaining after one request = hours left − that request’s working or slower estimate. A negative answer is a shortfall.

Similar requests that could fit = whole number of hours left ÷ hours per request, rounded down. No count is given for a zero-hour estimate.

How do I choose the estimates?

Break down the request into preparation, delivery, communication, review and handoff. Give each step a working estimate and a slower estimate, then add each column. The weekly capacity guide includes a filled example.

What if the work spans more than one week?

Use only the hours that fall in the one-week window you are planning. Repeat the check for each affected week. A spare week later does not remove a shortfall this week.

Can the tool decide whether I should accept a project?

Use the result as a planning check. Confirm scope, input deadlines, review rounds and your estimates with the people involved. The calculator does not measure demand or guarantee delivery, sales or income.

Will my inputs be here when I return?

No. This calculator does not save inputs between visits. Keep the tab open while planning and export your snapshot before leaving. Undo replacement is available only within this open page.
